Main Duties:
The main purpose of this position is to ensure that all visitors / clients are received and dealt with in a professional and courteous manner. The Receptionist represents the image and standards of our client therefore the first impression is crucial to perception. The Receptionist must remain flexible in support of colleagues and retain the ability to prioritise workload while ensuring security of the premises.

  • Provision of a friendly, courteous and discreet meet and greet service for all clients
  • To provide a prompt, efficient and polite response to both internal and external telephone calls
  • To work on the switch board system
  • To ensure effective call handling and transfer for any calls
  • To ensure all clients are treated with the highest of respect and are dealt with in the most professional manner
  • Arrange hospitality services such as booking meeting rooms
  • Present ones self in professional manner at all times
  • Booking of conference and meeting rooms when requested
  • Issuing of ID badges to staff and visitors
  • Arrange for local courier pick ups as requested
  • Accept courier deliveries and notify the recipient of their arrival
  • Liaise and co-operate with Security, contacting them for all types of security breaches and problems
  • Initiate emergency procedures as warranted by and consistent with assigned location emergency response guidelines
  • Maintain confidentiality and professional integrity at all times
  • Open the switchboard promptly at designated opening time and secure the switchboard after closing time
  • Be responsive to customer service requirements
  • Exercise tact, patience, diplomacy and professionalism at all times in responding to callers, regardless of customer's’ issue or demeanour
  • Provide a professional, friendly and capable reception service at all times, ensuring that visitors and staff are welcomed to the site, keep the front desk and lobby areas neat and organized. This includes responsibility for newspapers and magazines ordered for the lobby area
  • Contact the appropriate customer to meet their visitor in the lobby using the Company address book.

Qualifications and Experience

  • Minimum of 12 months previous experience in a similar role.
  • Fire Warden
  • Manual Handling
  • 5 year checkable work history
  • Excellent standard of English (written and spoken)
  • Excellent customer service skills
  • Good computers skills are essential

  • The ability to deal politely and efficiently with public and staff
  • Have an understanding of basic Health & Safety principles
  • Ability to remain calm in difficult situations
  • The ability to work without supervision and interact at all levels
  • The ability to manage, identify and prioritise your own workload
